Capacity Management - constructing the optimal portfolio

PM3’s capacity management tools help you to look over all the projects in your organisation, see where there are resource or financial overloads and then, in scenario  planning mode, either add resources/funding or reject, defer or extend projects so that the optimal project, resource and financial mix is achieved.

With PM3, you can select a portfolio of projects to run different resourcing scenarios on.

Each project manager or the PMO would load the budget and resources (by person or by role) for each project, say for the next operating plan year.

The portfolio owner would then open up a baseline scenario containing these projects and see if there was over or under capacity. With PM3, you can copy the baseline scenario to any number of different scenarios, e.g austerity, expansion etc. For example in the austerity scenario, you may decide to cut the capex budget by 15% and then see what this does to the portfolio, i.e. can you now afford it.

PM3 then allows you to defer projects by any number of months or even to cancel a project. PM3 shows you the total benefits that each project is estimated to deliver and you can also look at our value modeller to see which poor performing or high risk project you want to cancel or defer. You can then model these different outcomes and see if you can keep within budget.

Summary – How can PM3 help you plan your portfolio.

  • Multiple scenarios can be created to model the optimum portfolio against financial and / or resource  constraints
  • Capacity can be modelled using generic roles, e.g. project manager or individual people (John Smith)
  • Each scenario can be graphed to easily see over and under capacity
  • Each change in the underlying project resources or finances can be automatically seen in the scenarios. No re-keying of data is required
  • Projects can be stopped, deferred by any number of months or even cancelled when planning a business scenario
  • It is complex functionality but like the rest of PM3, easy to use
